Things to Do Before Taking the Thesis Defense Exam

For the student who has completed the thesis work and will take the thesis defense, the supervisor applies to the relevant Department/Department of Fine Arts Chair with a "Thesis Defense Exam Request Petition" containing suggestions regarding the exam jury, exam date, place, and time.

This petition must reach our Institute via the Electronic Document Management System (EBYS) by the Department/Department of Fine Arts Chair at least 15 days before the proposed exam date. Before all Master's with Thesis and Doctoral thesis defense exams, the supervisor sends the plagiarism software report (iThenticate or Turnitin) regarding the thesis as an attachment to the thesis defense exam request petition to be reported to the Institute. The similarity report must include document details, the general evaluation page showing similarity rates/numbers/percentages, and all pages of the thesis subject to evaluation. If the report size is not suitable for submission via EBYS, it is sufficient to transmit the general evaluation page showing similarity rates/numbers/percentages as an attachment to the petition, but all pages of the thesis subject to evaluation must be sent by the supervisor to the Institute via e-mail (lee@eskisehir.edu.tr) following the submission of the request petition via EBYS. The similarity rate in the plagiarism report obtained by applying appropriate filters should be a maximum of 15% from a single source and a maximum of 30% in total. In filtering, only "Exclude Bibliography" and "Exclude text parts with less than 1% overlap" should be kept. If a plagiarism possibility is determined in the data in the report, the thesis is discussed in the Institute Board of Directors for a decision together with the jury's justification. Therefore, the relevant report prepared by the supervisor must be sent together with the thesis defense exam request petition sent to the Institute by the Department.

Doctoral and Art Proficiency program students have a publication condition (Education and Examination Regulation; Article 43/2, Article 53/2). The document regarding the publication must be added as an attachment to the thesis defense exam request petition.

The exam jury consists of 3 persons for master's degree (or 5 - if a second supervisor is on the jury), one of whom is from another higher education institution, while the doctoral jury consists of 5 persons, 2 of whom are from outside the institution. Alternate members must be proposed such that at least one is from another higher education institution. Persons who have a conflict of interest/overlap with the student, advisor, and/or another jury member should not be proposed as jury members.

If travel, daily allowance, and accommodation are requested for the faculty member who will attend the thesis defense exam from outside the city, this request must be explicitly stated in the request petition. If not stated in the petition, documents for travel, daily allowance, and accommodation are not prepared. Before the student enters the defense, documents regarding travel and daily allowance for the faculty member on the defense jury who will come from outside the city are sent via e-mail to the student's advisor. After the thesis defense exam, this document signed by the relevant jury member must be hand-delivered to our Institute's Accounting unit.

If corrections are given to the student in the thesis at the thesis defense exam, the master's student must re-enter the defense (with the same jury) within a maximum of 3 months, and the doctoral student within a maximum of 6 months. If the student fails this defense as well, their connection with the program is terminated.

If a master's or doctoral student whose thesis has been rejected requests it, and provided that the rejected thesis is accepted as a term project by the Institute Board of Directors and the student has taken and successfully completed at least 10 courses worth 60 ECTS credits, a non-thesis master's diploma is given to the student. For a student in this scope who cannot fulfill the non-thesis master's graduation conditions, an additional semester of study time is given to fulfill the graduation conditions. If the student cannot fulfill the non-thesis master's graduation conditions at the end of this period, their connection with the program is terminated.

Things to Do After Taking the Thesis Defense Exam

After the thesis defense exam, the exam minutes are delivered to the Institute by the Department/Department of Fine Arts Chair via EBYS with a covering letter and the original of the minutes in an envelope.

If corrections are requested by the jury, the student who entered the defense, after making these corrections, sends the draft of their thesis, prepared using the Thesis Writing Editor in line with our university's Thesis Writing Guide, to the Institute via e-mail (lee@eskisehir.edu.tr) in word and pdf formats (CLICK HERE for the Thesis Writing Editor, CLICK HERE for the Thesis Writing Guide). For theses prepared in the LaTeX environment in line with our university's Thesis Writing Guide, while sending the thesis draft to the Institute via e-mail, an archive file (zip/rar) containing the tex file and the necessary style and format files should also be sent along with the pdf file.

In the thesis study checked by the Institute according to the Thesis Writing Guide, some corrections may be requested if deemed necessary. After these corrections are made, the approval for printing is communicated to the student and, for information purposes, to the Institute Student Affairs via the e-mail through which the thesis draft was sent.

Things to Do After Receiving Printing Approval

Covers are delivered to the student for binding the thesis. At least one and at most three copies must be bound for Master's with Thesis, and at least three and at most five copies for Doctorate. For the completion of the student's graduation procedures, one bound copy of the thesis signed by the jury will be delivered to the Institute.

Along with the bound theses, the student must prepare the following documents and deliver them to the Institute Student Affairs within a maximum of 1 month after the defense exam.

You can log in to the YÖK page at https://tez.yok.gov.tr/UlusalTezMerkezi with your e-Government password, fill out the Thesis Data Entry Form, and print it out. The steps to follow and points to consider for filling out the relevant form are shared below.

  • CD, 1 piece
    Write the reference number you received from YÖK on the upper right corner of the CD case.

For the CD Cover template:

On the CD, only the "Abstract" (Turkish), only the "Abstract" (English), and the "Full Text of the Thesis" should be saved as Summary.pdf, Abstract.pdf, and referencenumber.pdf, respectively. In the PDF file of the thesis;

  • The "Jury and Institute Approval", "Supervisor Approval", and "Declaration of Compliance with Ethical Principles and Rules" pages must be included without signatures (without wet signature),
  • Personal Data (wet signature belonging to the thesis author or supervisor, Turkish ID number, place and date of birth, e-mail, phone, address, photograph) must absolutely not be included in the CV/RESUME section.

In all bound theses, the "Jury and Institute Approval Page" must be wet-signed by the jury, the "Supervisor Approval Page" must be wet-signed by the supervisor, and the "Declaration of Compliance with Ethical Principles and Rules" page must be wet-signed by the student. Theses without wet signatures are not accepted.

Provided that the plagiarism report to be generated by the Institute based on the latest copy of the thesis submitted on the CD is appropriate, the prepared thesis and all requested documents are delivered to the Institute thesis submission officer to be submitted to the Board of Directors. Documents receiving the necessary approvals are forwarded to the secretariat unit for the Board of Directors' decision. Theses for which the Board of Directors has issued a graduation decision and which are signed are delivered by the student within 15 business days for distribution to the faculty members on the thesis defense jury.

The student receives their diploma from student affairs against signature within 1 month.

Steps to Follow and Points to Consider for Filling Out the YÖK Thesis Data Entry Form

  • Go to the address "https://tez.yok.gov.tr/UlusalTezMerkezi".
  • Click on "Member login" and log in via e-Government.
  • It is important to enter information under "Membership Information" for first-time logins, and to update missing information in previous memberships.
  • Click on the "Thesis Metadata Entry Form" link.
  • On the screen that appears, select the education information for which thesis data entry will be made, click on the "Thesis entry" link, carefully fill in all fields according to the specified directions, and save.
  • When the "Save" box is clicked, a "Reference Number" is generated by the system. In the arrangements and checks to be made at the National Thesis Center, the reference number on the thesis data entry form is taken into account.
  • Finally, the document will be printed, signed, and delivered to the Institute.

Points to consider when filling out the form:

  • Thesis Title (Original), Thesis Title (Translation), Turkish Abstract, and English Abstract fields: These are loaded into the searchable fields of the Thesis Database. Therefore, in such text fields, italic font, tables, figures, graphs, chemical or mathematical formulas containing special characters, symbols, subscript and/or superscript, Greek letters, or other non-standard symbols or characters should not be used. Turkish and English Abstracts should be prepared in accordance with the Thesis Writing Guide, containing no less than 100 words and no more than 250 words.
  • Page Number: This is the total number of pages, including the title page but excluding the inner cover page of the thesis.
  • Supervisor: If the thesis has an official second supervisor, information for both supervisors is added. Otherwise, only information for the current thesis supervisor will be entered. The thesis defense jury is not added to the form.
  • Department / Program: Make sure you enter your Department and Program information correctly. If no suitable option is found for the Program, this field can be left blank.
  • Index Terms: This is the alphabetical list of keywords that provide direct access to theses searched in the National Thesis Center Database. If the index terms to be added are not found in the index terms list, the keywords suggested by the author should be written under the "Suggested Index Terms" field as "Turkish=English" (e.g.; Ayrık zamanlı sistemler = Discrete-time systems).
